1. Who is responsible

The controller responsible for your personal data on this website is:

For any question about your data, or to use any of the rights below, write to the address above.

2. What we collect

Contact form

When you send the contact form, we receive:

• your name,
• your work email address,
• your company name,
• the message you write.

Please don’t include sensitive information (for example health data) in your message. We don’t need it.

Talent pool form

If you apply to join our talent pool, we receive:

• your name,
• your email address,
• your phone number,
• your German level and whether you speak Swiss German,
• the roles you are interested in,
• your salary expectation, if you give one,
• when you could start,
• the link you give us to your CV or LinkedIn profile, and whatever that link shows us,
• the message you write.

Please only send us what a hiring decision needs. Don’t send us health data, information about your family, a photo, or an ID number.

Emails

If you email us directly, we receive your email address, your name as shown in your email, and whatever you write.

Technical data

When you open this website, your browser sends your IP address, the page requested, the date and time, and browser details. Our hosting provider [hosting provider] processes this to deliver the page and keep it secure.

The fonts on this website are served from our own website, not from a third-party service.

We do not use cookies, analytics, advertising pixels, or any other tracking on this website.

3. Why we use it and the legal basis

• To answer your enquiry and, if you want, to discuss working together. Legal basis: Art. 6(1)(b) GDPR (steps taken at your request before entering into a contract). Where your message isn’t about a possible contract, the basis is Art. 6(1)(f) GDPR, our legitimate interest in replying to messages sent to us.
• To keep you in our talent pool and contact you when a role that fits you opens. Legal basis: your consent, Art. 6(1)(a) GDPR, which you give with the checkbox on the talent pool form. You can withdraw it at any time, and we then delete your data. Withdrawing doesn’t affect what we did with your data before. Joining the talent pool is not a job offer and not a promise of one.
• To deliver and secure the website (technical data). Legal basis: Art. 6(1)(f) GDPR, our legitimate interest in a working, secure and consistently displayed website.

We process data in line with the EU General Data Protection Regulation (GDPR) and Kosovo’s Law No. 06/L-082 on the Protection of Personal Data.

We don’t sell your data, add you to mailing lists, or use it for automated decision-making or profiling.

4. Who else receives it

We only share data with service providers we need to run this website and reply to you. They process it on our behalf and on our instructions:

• Formspree (Formspree, Inc., USA): receives contact form and talent pool form submissions and forwards them to us by email.
• Our email provider [email provider]: stores the messages we receive and send.
• Our hosting provider [hosting provider]: serves the website.

Some of these providers are based outside the EU/EEA, for example in the USA. Where that is the case, data is transferred on the basis of [EU–US Data Privacy Framework / EU Standard Contractual Clauses: confirm per provider].

5. How long we keep it

• Enquiries (form and email): up to [12 months] after our last contact with you, unless it leads to a business relationship.
• Talent pool applications: we keep them until you ask us to delete them, or until you withdraw your consent. Ask any time by emailing us, and we delete your data. We don’t pass your application to a client without asking you first.
• If we start working together: for the duration of the relationship, and afterwards as long as tax and commercial record-keeping laws require.
• Copies held by Formspree: deleted from Formspree within [X days].
• Server logs: [X days], as set by the hosting provider, unless needed to investigate a security incident.

If you ask us to delete your data earlier, we will, unless the law requires us to keep it.

6. Your rights

Under the GDPR you have the right to:

• Access: find out whether we hold data about you and get a copy of it (Art. 15).
• Rectification: have incorrect data corrected (Art. 16).
• Erasure: have your data deleted (Art. 17).
• Restriction: have processing limited in certain cases (Art. 18).
• Portability: receive data you gave us in a common, machine-readable format (Art. 20).
• Objection: object at any time to processing based on our legitimate interest (Art. 21).
• Withdrawal of consent: withdraw the consent you gave for the talent pool at any time (Art. 7(3)). We then delete your application.
• Complaint: lodge a complaint with a data protection authority (Art. 77). In Kosovo this is the Information and Privacy Agency (Agjencia për Informim dhe Privatësi). If you live or work in the EU, you can also contact the authority in your country.

To use any of these rights, email agon@solvateams.com. We will reply within one month. We may ask you to confirm your identity first.

7. Do you have to give us your data?

No. Contacting us and joining the talent pool are both voluntary. Without an email address, though, we can’t reply to you, and without the details on the talent pool form we can’t match you to a role.
